Sometimes, the universe has a funny way of bringing the right people together.

Recently, I met a bride at a bridal show who was looking for a wedding coordinator for her upcoming wedding at the Indianapolis Central Library. We started chatting about her wedding plans, what she was looking for, and how I could help make her wedding day run smoothly.

Then she noticed my business name:

Author Audrey.

A wedding at the library… with a wedding coordinator named Author Audrey?

She booked with me before she even left the bridal show.

Honestly, if that isn't a sign from the universe, I don't know what is!

But while I love that the name made her smile and gave us an instant connection, her story is also a perfect example of something I encourage every couple to do before hiring a wedding coordinator:

Meet them. Talk to them. Get to know them.

Because choosing a wedding coordinator isn't only about finding someone who can create a timeline or manage vendors. It's about finding the person you want beside you when the day you've spent months—or even years—planning finally arrives.

Wedding Coordination Is About More Than a Job Description

When couples search for a wedding coordinator, it's easy to compare services and packages.

Does the coordinator provide day-of coordination?

Do they create the timeline?

Will they communicate with vendors?

Do they help with setup and cleanup?

What does their package cost?

Those are all important questions. But there is another question that doesn't fit neatly into a package comparison:

Do you actually like this person?

Your wedding coordinator may be one of the vendors you interact with the most throughout your wedding planning process. On the wedding day itself, they're often the person you turn to when you have a question, need reassurance, or simply don't know what to do next.

That's why personality matters.

You want to feel comfortable with the person you're hiring.

You want to feel heard.

You want to know that your coordinator understands what is important to you and isn't going to treat your wedding like just another event on the calendar.

And, perhaps most importantly, you want someone you trust to be in your corner.

Your Wedding Coordinator Will See You at Your Best—and Your Most Stressed

Let's be honest: even the most carefully planned wedding can have unexpected moments.

A vendor might arrive later than expected. A timeline might need to shift. The weather could change your plans. A family member may have a question. Something might not go exactly according to plan.

Your coordinator is there to handle those things so you don't have to.

That means you're not just hiring someone based on their ability to organize a spreadsheet or build a timeline.

You're hiring someone who will be communicating with your vendors, answering questions, troubleshooting problems, keeping an eye on the clock, and helping protect your experience throughout the day.

You need to know that the person doing all of that is someone you feel comfortable relying on.

The Right Coordinator Should Feel Like Someone in Your Corner

One of my favorite parts of being a wedding coordinator is getting to know my couples.

Every couple is different. Every wedding has a different vision, personality, family dynamic, and set of priorities.

Some couples want to be involved in every detail. Others want to hand over the logistics and simply enjoy their engagement and wedding day.

Some couples need lots of reassurance. Others want a coordinator who can quietly handle things behind the scenes.

There isn't one "right" type of couple—and there isn't one "right" type of coordinator for everyone.

That's why meeting with potential coordinators is so important.

You can have the perfect package on paper, but if your personalities don't click, you may not feel as comfortable relying on that person when your wedding day arrives.

On the other hand, you might meet someone and immediately think, "Yep. I want this person with me."

That feeling matters.

What Should You Talk About When Meeting a Wedding Coordinator?

When you meet with a potential wedding coordinator, don't be afraid to go beyond questions about pricing and services.

Talk about your wedding.

Tell them what you're excited about.

Tell them what you're nervous about.

Explain what matters most to you.

Ask how they approach unexpected problems.

Ask how they communicate with couples and vendors.

And pay attention to how the conversation makes you feel.

Do they listen?

Do they seem genuinely interested in your wedding?

Do you feel comfortable asking questions?

Do they make you feel like your concerns are valid?

Do you feel like they understand your vision?

And perhaps the simplest question of all:

Can you picture this person standing beside you on your wedding day?

Sometimes the Connection Is the Sign

I still love thinking about that bridal show conversation.

A bride looking for a coordinator.

A wedding at the Indianapolis Central Library.

And a business called Author Audrey.

Maybe my name was the reason she stopped at my booth.

Maybe it was the universe's way of getting us in the same place at the same time.

But what I love most is that it didn't end with a business name or a clever coincidence.

We talked.

We connected.

She trusted me with her wedding day.

And that is what I hope every couple experiences when they're searching for their wedding coordinator.

Because at the end of the day, your coordinator is more than a job description.

They're a person.

They're someone you'll communicate with, lean on, trust, and ultimately invite into some of the most meaningful moments of your wedding day.

So when you're choosing a wedding coordinator in Indianapolis—or anywhere else—don't just compare packages.

Meet the person.

Talk to them.

See how you connect.

Find someone whose personality feels right for you.

Because when your wedding day finally arrives, you deserve to have someone beside you who isn't just there to manage the timeline.

You deserve someone who genuinely cares about you, your partner, and the day you've worked so hard to create.

And if their name happens to be a little too perfect for your wedding venue?

Well… maybe that's just a sign. 📚✨
