Multi-Level Venues & How to Prepare

If you are finding yourself hesitate to book a venue with only stair access, you are not alone. One of my favorite venues in downtown Indianapolis is Laurel Hall. It's a historic, multi-level mansion that is unlike traditional banquet halls in the best of ways. It has grand architecture, old-school character, and so many ornate touches in the wood and stained glass windows. Laurel Hall is the perfect setting for couples who want a timeless, elegant, homey feel.

As an Indianapolis wedding coordinator for over 12 years, my clients always worry about venues like Laurel Hall due to its multiple levels. If you have never been this venue, let me set the stage...

-The first level contains the offices, kitchen, lobby, parlor, library (grooms room), restrooms, main reception space, and a solarium. Each of these spaces are well defined and have doors to gain access to them.

-The second level is mostly "off limits" with the exception of the bridal suite.

-The third level holds the chapel room which is where most of the indoor ceremonies take place.

-Outside the first level, there is a patio space with stairs that lead down onto a shaded grassy area which is a wonderful spot for couples who want an outdoor, green space for their ceremony.

The thing that detours many clients from booking Laurel Hall is the fact that there are no elevators or lift assistances of any kind in this venue. If you are willing to get married on the stone patio, then no stairs are needed, but many couples want to use the lower green space or 3rd floor chapel. However, they find themselves feeling guilty if they use these spaces. Not because they are insanely difficult to get to, but because they, as the hosts, aren't always aware of all the future physical limitations of their guests. While this is true and extremely thoughtful, you, as the couple, can still get the location you prefer even without it being fully ADA compliant. Below are some options to consider when using multiple levels at a venue:

  1. Inform Guests Before Arrival- It is true that you won't know all the physical limiations of guests. However, a guest can come prepared if they are informed beforehand. I always reccomend indicating on the inviations if the use of stairs or a long walk is required to reach the destination. This will give guests the opportunity to plan for extra time or help from others.

  2. Make Sure there are Resting Points- Many staircases have landings halfway up the flight. Plan to utilize this space as a resting point with a chair or bench so guests can catch their breath before ascending the next section.

  3. Expect a Delay- Not everyone prepares for events in the way you want them to. It is normal to delay the start time by 5 to 10 minutes to allow extra time for those who are slower to make their way to the destination.

  4. Designate an Usher- Nowadays, many couples don't use an usher to help seat guests as they prefer open seating and "no sides." However, if you have stairs at your venue, you may want to consider having an usher or two to assist guests up and down the stairs, especially if there are multiple elderly couples.

  5. Have Clear Signage and/or Directional Greeters- If the destination isn't right inside the entrance, be sure to have clear signage or a greeter to point guests in the right direction.

  6. Set Up a Live Stream Viewing Space (if needed)- If you want to give guests the option to not use the stairs and stay on the main level, setting up a viewing room with a live stream is a great option.

When searching for a venue, there is no need to avoid a muli-level location. All it takes is a little more planning to make guests, even those who have trouble with stairs, feel cared about and seen. The extra thought and preparation will speak volumes to those guests and you will still get the wedding of your dreams.
