Recently, I had the opportunity to coordinate a beautiful wedding at The Event Nest in Carmel, Indiana, and the day provided the perfect example of why having an experienced wedding coordinator can make such a difference.
The challenge? The bride's uncle, who was traveling from overseas, was supposed to arrive two days before the wedding.
Instead, he arrived on the wedding day.
And for a while, we had no idea exactly when—or if—he would make it to the ceremony.

When we saw that his flight had finally landed, we were hopeful.
But we couldn't reach him.
The ceremony start time approached.
So we waited.
Ten minutes.
Then another ten minutes.
Then another.
As a wedding coordinator, this is where I have to think about more than just the ceremony.
Of course, getting the bride down the aisle with her uncle was important. But I also knew the photographer had a limited amount of time remaining. If we continued delaying the ceremony, we risked losing other important photographs and moments the couple had planned for their wedding day.
That meant it was time to look at the entire wedding timeline, not just the ceremony.
A Wedding Coordinator's Job Is More Than Keeping Time
One of the biggest misconceptions about wedding coordination is that a coordinator's job is simply to make sure everything happens at the scheduled time.
In reality, wedding day coordination requires constant problem-solving.
I have to ask:
What is most important to the couple?
What can't be recreated later?
Which vendors have time limitations?
What can we move without creating another problem?
What happens if we wait another ten minutes?
Is there a better way to accomplish what the couple wants?
In this case, continuing to wait could have meant that the bride got the ceremony she wanted—but missed some of the professional photographs she had been looking forward to.
I didn't want her to have to choose between the two.
Finding a Solution When the Original Timeline No Longer Works
After we had already pushed the ceremony back multiple times, I spoke with the bride about changing the schedule.
Instead of continuing to wait with all of the guests, we decided to allow everyone to begin dinner while the bride and groom used that time with their photographer.
We rearranged the evening so the couple could capture their ceremony, first dance, and cake-cutting photographsbefore the photographer had to leave.
It wasn't our original plan.
But a wedding timeline isn't supposed to be so rigid that it can't adapt when something unexpected happens.
The goal isn't to follow the timeline perfectly.
The goal is to protect the wedding experience and the moments that matter most to the couple.
And Then He Arrived
Just when it seemed like we might have to move forward without him, the bride's uncle arrived at The Event Nest.
He made it just ten minutes before the photographer had to leave.
Because we had already adjusted the timeline and protected the couple's other important photographs, the photographer was still able to capture the moment everyone had been waiting for:
The bride walking down the aisle with her uncle.
It was worth the wait.
And, just as importantly, the bride didn't have to sacrifice the other photographs she wanted because of the travel delays.
