Surprise Spring Biltwell Wedding

Wedding planning doesn't always go exactly as expected.
Sometimes timelines shift.
Sometimes plans change.
And sometimes, a wedding originally planned for November becomes a beautiful spring celebration instead.
That's exactly what happened with this wonderful couple's wedding at the Biltwell Event Center in downtown Indianapolis.
Like so many couples, they found themselves needing to move their wedding date. While changing a wedding date can feel overwhelming—coordinating vendors, confirming availability, and adjusting months of planning—my goal was simple: make the transition as easy as possible.
One thing my couples are often surprised to learn is that I never charge a date change fee.
Life happens.
Whether it's family circumstances, venue availability, or something completely unexpected, I believe your wedding coordinator should be a source of calm during those moments—not another source of stress.
When their new spring wedding day finally arrived, it was absolutely worth the wait.
Although the season had changed, the couple stayed true to the rich autumn color palette they had always envisioned. Deep oranges, warm burgundies, moody florals, and candlelight transformed Biltwell's industrial architecture into a space that felt both elegant and inviting.
It was proof that your wedding doesn't have to match the season to be beautiful.
Some of my favorite details were the ones that reflected the couple's personalities.
Each guest found a custom "Boss Ross" mint tin waiting at their seat—a playful nod that had everyone smiling before dinner even began.
During cocktail hour, guests gathered around a beautiful mirror display featuring wedding photos from couples who had married before Ross and Rachel—including my own wedding photo. It was such a thoughtful way to celebrate the marriages that had inspired and supported them throughout their lives.
Those are the kinds of details guests remember long after the flowers have faded.
But this wedding also reminded me of something else that couples don't always think about while planning.
Choosing your wedding vendors isn't just about finding someone whose work you love.
